If you are planning an upcoming wedding, reception or special event at Celebrations Event Center you are going to want your guests to rsvp! You may be tempted to skip collecting rsvps and getting an accurate guest count for your event, wondering if it is even worth the time and effort it takes and if guests will even take the time to rsvp. However even for the more casual functions and especially for weddings an accurate guest count can make a significant difference in the organization and success of your event. Here are 5 reasons why you need to have an accurate guest count for your event!
5 Reasons Why You Need An Accurate Guest Count:
Venue Capacity:
Every venue has a limit to how many guests it can safely and comfortably accommodate. Knowing and keeping your guest count with in your venues total capacity is important. Guest counts that exceed a venues capacity impacts the quality of your event and can put your guests at an unnecessary risk in the instance of an emergency. Celebrations Event Center has a guest limit of 200 guests at an event. This limit takes into account the comfort of your guests in our space, time needed when transitioning from one wedding activity to another, and safety regulations required for public spaces.
Set Up:
Having an accurate guest count impacts the set up process for your big day for the better at Celebrations Event Center. When we know how many guests to expect we will have your tables and chairs set up and ready to decorate at your time of arrival. This means you can better utilize the time in your packages for the things that really matter.
The last thing you should be dealing with in the middle of an event is having to many or to few seats available. We want to make sure that the appropriate amount of seating is available for several reasons. We want all of your guests to be comfortable through out your event and have a place to sit. Also if there are to many tables and seats set up there will be pockets of empty spaces during your wedding and reception and it will impact your wedding photos. Your photographer works hard at capturing your wedding day and part of that is capturing your guests attendance and joy while celebrating your wedding. When there are large pockets of empty spaces during the ceremony and reception it will appear as if you had a large number of guests who decided not to attend at the last minute in your photos. Having your guests seated in the appropriate amount of seats means they will easier to photograph and capture who was there for you on your big day!
Inventory:
If your venue offers catering or bar services an accurate guest count is needed! At Celebrations Event Center we have full bar services. We need accurate guest counts to help us order the appropriate amount of inventory for upcoming events. Some of our distributors only deliver every other week so we need those guest numbers about 3 weeks before your event date. Having an event that has more unexpected guests then what we were told can throw off our available inventory for future events. It can also negatively impact your event and result in there not being enough inventory for the duration of your event. We try to avoid this happening at all costs by planning ahead for all upcoming events with our orders but that starts with knowing how many guests we should be planning for!
Budget:
Planning a wedding is expensive and every wedding has a different budget. Your guest count impacts your budget significantly. More guests result in having to pay more for catering, drinks and even decor for additional table settings. Having your guests rsvp and getting an accurate guest count can help you stay with in your wedding budget. We have seen so much food waste at weddings over the years and this can be prevented by giving your caterers an accurate final guest count which can help save you from paying for food that may go uneaten.
Timeline:
Knowing how many guests are coming will help you stream line your wedding day schedule! The more guests you have the more time you will need to consider when transitioning from one event to another. Your guest count will also impact how long your reception dinner will take. No matter if you choose buffet style or table service for your reception meal more guests will need more time for service. Knowing how many people are coming will help you plan your wedding day schedule!
Having an accurate guest count matters for so many reasons. These are just 5 of the biggest reasons we recommend having your guests rsvp for your wedding or special event.
